DocuSign is a document signing software that you can use to legally—and securely—send and collect signatures from your customers online in minutes. E-signatures speed up the agreement process and maximize your productivity.
With the Jobber and DocuSign integration, envelopes (in DocuSign, envelopes are a document container that you can send to a recipient to sign, such as agreements or contracts) are auto-drafted when milestones within your workflow are reached such as when a quote is sent or approved, or when a job is created.
Data from Jobber is also usable in DocuSign, so that client, quote, and job details can be auto-populated in agreements using document custom fields. The status of the agreement is visible within Jobber from the quote or job so you can keep an eye on the progress of the agreement.
Before you start
The DocuSign integration is available on Jobber's Connect and Grow Plans. To check which Jobber plan you're on, navigate to the Gear Icon > Account and Billing. If you have any questions about your plan's features or pricing, our support team is here to help!
All DocuSign plans can add the Jobber client name, email, and company to DocuSign agreements, however only Business Pro plans and above can add fields like property address, quote, or job details. Learn more about DocuSign pricing in the United States and Canada.Before setting up the Jobber and DocuSign integration, in DocuSign make sure you already have at least one template created as you will need to select a template as part of the set up process. While creating your template, you will be prompted to add a recipient. The Role field is the only required field for the template recipients, so using a generic role like "signee" or "client" is one way to create the template but keep it so that the recipient's name and email address can be filled in later.
Each time a new envelope is drafted from this template, the Jobber integration will autofill the client's name and email with their details from Jobber.
Connect Jobber to DocuSign
You need a DocuSign account in order to connect and use this integration. Before you start, make sure you're signed into both your Jobber and DocuSign accounts. It is recommended that only DocuSign administrator users set up the integration.
To connect Jobber to DocuSign:
- In Jobber, click Apps from the side navigation.
- From the App Marketplace, select DocuSign.
- From the DocuSign app heading, select Connect.
- To authorize the DocuSign integration to access the listed information from your Jobber account, select Allow Access
Next you'll be prompted to customize the integration settings through a three step onboarding process.
Step 1: Make sure you have at least one agreement template created in DocuSign, then select Connect to DocuSign.
You will then be prompted to allow Jobber to access DocuSign, select Allow Access.
Step 2: Next, you'll be prompted to select when a DocuSign envelope should be automatically drafted and which template it will be. Your options are:
Quotes are sent - an agreement will be auto-drafted when a quote is sent via email or text message. Quotes that are marked as awaiting response will not auto-draft a DocuSign agreement.
Quotes are approved - an agreement will be auto-drafted when a quote is approved by your client in client hub, or marked as approved by you in Jobber.
Jobs are created - an agreement will be auto-drafted when a job is created in Jobber.
Select which DocuSign template will be auto-drafted from the drop-down. The drop-down will list the templates you have created in DocuSign. If a template was recently created in DocuSign and doesn't appear in the list yet, click Refresh to update the list of templates.
Note: these settings can be updated later.
Step three: You've completed the set up in Jobber, but there is still one last thing to do in DocuSign: Drag and drop the newly created document custom fields into your template in DocuSign to auto-fill data from Jobber.
Note: If the plan that you currently have with DocuSign does not support document custom fields, the integration will not support auto-filling your agreements with Jobber data like client, quote, and job details. If you are on a plan that does not support custom fields, click Skip to bypass mapping custom fields from Jobber in DocuSign or Upgrade in DocuSign to view DocSign pricing plans. You will need DocuSign's Business Pro plan or above to auto-fill these fields with Jobber data.
Click Go to DocuSign to jump to your template. Then click Edit, then Next get to the document editing screen. From the right sidebar, select Custom fields to see the custom fields added by Jobber. Drag the custom fields into your template where you'll want them to populate information from Jobber.
Keep in mind that some custom fields may populate a long string of text, such as the "Jobber property address" or "Jobber quote link" custom fields. You may need to adjust the font size or field length (including setting a fixed width) to make sure it fits nicely into your template.
In DocuSign, avoid selecting the checkbox for "Required Field" in the right sidebar. When this checkbox is selected, the signer is required to type a value into that field, which prevents Jobber from autofilling that custom field. By default, "Required Field" will be deselected.
The custom fields in DocuSign that are created by Jobber depend on your settings for when your quotes are auto-drafted
- If your settings are when quotes are sent or when quotes are approved, the custom fields are:
- Client phone number
- Property address
- Quote link (this is a link to view the quote in client hub)
- Quote number
- Quote title
- Quote total price
- If your setting is when jobs are created, the custom fields are:
- Client phone number
- Property address
- Job number
- Job title
- Job total price
- Quote link
- Quote number
- Quote title
- Quote total price
If you update your integration settings to change when envelopes are auto-drafted, any additional custom fields will be added to your options in DocuSign. Custom fields in DocuSign will not be removed by changing your settings.
Custom fields for DocuSign in Jobber
Now that the setup has been taken care of, when creating a quote or job you'll see a DocuSign custom field section in Jobber that has been added automatically as part of the integration.
Note: You may need to refresh your browser to see the DocuSign custom fields once the draft in DocuSign has been triggered.
There are three custom fields for DocuSign:
- [Template Name] Required - This will be Yes or No. When creating the quote or job, check this box to auto-draft an envelope in DocuSign according to your settings. Learn more.
- Link - Click View in DocuSign to view the envelope. Learn more.
- Status - This is the status of the envelope. Learn more.
To auto-draft an envelope in DocuSign, check the box for [Template name] Required when creating a quote or job. This will auto-draft an envelope in DocuSign at the point you selected in your settings and take the details from the quote or job and fill them into the corresponding custom fields that you added to your template in DocuSign.
If you do not want to create an envelope for this quote or job, deselect the checkbox.
View in DocuSign
From the Link custom field, select View in DocuSign to open the envelope to look over the template and make any necessary changes.
In DocuSign, to view what the document will look like to your client, click the Preview button to view it as them. When you're happy with how it looks, exit the preview screen, then click Send to email it to your client.
In Jobber, you will also be able to track the status of the envelope in DocuSign from the quote or job from the Status custom field so you can monitor its progress.
The first envelope status you will see is "Draft" however there are many possible envelope statuses that you may see throughout the lifecycle of the envelope including:
- Waiting for others
- Delivery failure
Use cases for DocuSign
Setting up an agreement or contract ahead of time protects you in case something doesn't go according to plan during the work. DocuSign can be used to set up a wide variety of agreements including:
- Liability details
Outline what you are liable for in case of an accident. Outlining this ahead of time may protect your business in case of emergency or if there is property damage.
- Warranty details
Does your company offer a warranty? Outline it using DocuSign so that your clients know what your warranty includes and what can be repaired or replaced if necessary.
- Change orders
If the scope of work changes, use DocuSign to have your client sign-off on the changes to the work.
- Recurring service contract
Set up a contract that covers your recurring services, including any discounts on products or services that may be a part of signing a multi-year contract. For example, we will pay for half of the upfront costs of your security camera installations if you sign on to 2 years of service with us.
- Payment Terms
Do your clients incur a late change after a certain amount of days past due? Have your clients sign an agreement that includes your payment terms to make sure this is clearly outlined upfront.
- Cancellation or Rescheduling Terms
If you have a cancellation policy, that can be added to an agreement in DocuSign so that your clients understand that there will be a fee incurred for cancellations on short notice (for example, you must give 48 hours of cancellation or you incur a fee).
- Unaccompanied Access Contract
Do you need to access your clients' home while they aren't present? Have them sign an agreement that includes access information and outline any liabilities.
How to manage your DocuSign integration settings
To manage your app settings, navigate to Apps from the side navigation, then select DocuSign from the list. From the DocSign heading, select Manage App to open the settings for the DocuSign integration.
How to disconnect the DocuSign integration
To disconnect DocuSign from Jobber, navigate to Apps from the side navigation, then select DocuSign from the list. From the DocSign heading, select Disconnect. You will be asked to confirm the disconnect, select Yes.
