This article covers frequently asked questions about the NEW QuickBooks Online sync which is gradually being rolled out to select accounts. If you've used our QuickBooks integration previously, there have been some changes.
Here are some of the highlights with this new integration:
- If this is your first time connecting your Jobber account to QuickBooks Online, there is now a one-time import to bring your client information and products and services from QuickBooks into Jobber. Learn more about getting started with the QuickBooks integration.

The sync is now one way, from Jobber to QuickBooks.
- Jobber is the source of truth for clients and products and services. These items no longer sync both ways, so any edits to these items should be made in Jobber to avoid overwriting them in QuickBooks.
- “Paid” status on invoices no longer sync back to Jobber.
- The sync is now ongoing and automatic. No more hitting the Sync now button to initiate a sync with QuickBooks.
- Sync errors can now be resolved from your QuickBooks dashboard in Jobber.

How do I connect my Jobber account with QuickBooks?
1️⃣ From the side navigation in Jobber, click Apps. From the list of apps, select QuickBooks Online.
2️⃣ From the QuickBooks Online Integration page, select Connect. Jobber will prompt you to log in to your QuickBooks Online account if you haven't already to authorize the connection. Click Allow access to connect your Jobber account.
3️⃣ If this is your first time connecting Jobber to this QuickBooks integration, you'll be directed to import your clients and products & services from QuickBooks into Jobber.

How do items sync between Jobber and QuickBooks?
Items that sync from Jobber to QuickBooks are:
- Clients
- Products & services
- Note: Your products and services list can be edited from Settings > Products and Services.
- Invoices
- Payments (including Jobber Payments payouts, tips, and refunds)
- Timesheets
These items sync one-way from Jobber to QuickBooks. When initially connecting Jobber and QuickBooks, there is an option to import your QuickBooks clients from QuickBooks into Jobber as many businesses have client information already in QuickBooks when starting with Jobber.

Should I make edits in Jobber or QuickBooks?
Since the sync is one-way from Jobber into QuickBooks, if you need to make any changes to an item that exists in both Jobber and QuickBooks you should make that edit in Jobber.
Does Jobber sync to QuickBooks Desktop?
Jobber does not sync to QuickBooks Desktop. Our integration is only with QuickBooks Online.
Clients from QuickBooks Desktop can be imported into Jobber or into your QuickBooks Online account from a CSV. This is a manual import and is not an ongoing sync. Learn how to Import Clients from QuickBooks Desktop.
How do I access my settings?
To access your QuickBooks settings, navigate to the QuickBooks sync activity dashboard. This can be accessed from the Gear Icon > Settings > Connected Apps > QuickBooks Online Integration. From the QuickBooks Online Integration, click Manage App.
From the sync activity dashboard, click Sync Settings.
If there is anything that requires your attention in your sync activity, you'll see an alert in the top navigation in Jobber. Click the alert to view the sync activity dashboard where you can view any errors or warnings or access your sync settings.
From the sync settings page, there are two tabs with settings options:

Sync settings - this is where you can customize when each item syncs with Jobber.
- For clients, products and services, and invoices there are two settings options for when the item syncs:

Once it appears on an invoice

Note: for invoices, this is when the invoice is sent (or marked as sent), OR
-
- As soon as the item is created or updated

- For payments (including payments, refunds, tips, and Jobber Payments payouts reconciliation) you have the option to sync when they are collected or to not sync these items at all.
- For clients, products and services, and invoices there are two settings options for when the item syncs:
- Chart of accounts - this is where you'll set up which account your Jobber Payments payouts reconciliation, fees, and tips are synced to.
Once you've made your selections, click Update Settings.
Can I backdate the sync?
If you have past items that you need to bring over to QuickBooks, select the button on the Sync Settings tab to Sync older items to QuickBooks.
Past invoices, payments, payouts, and timesheets can be brought into QuickBooks from Jobber. The sync for these items is back dated based on their creation date. To make your selections, check the boxes for the item type. There are some dependencies when syncing these items:
- To sync payments, you must also sync invoices
- To sync payouts, you must also sync invoices and payments
Click Start Sync once you've finished making your selections to run a sync that includes these items. These backdated items will appear on your sync dashboard.
To see previously backdated syncs, click View previous syncs to open a list of past syncs including the date, status, and items synced.
How do I resolve my errors and warnings?
In Jobber, if there is any sync activity that requires your attention you'll see an alert in your top navigation. Click the alert to view the sync activity dashboard.
From the QuickBooks sync dashboard, you'll be able to view the list of errors and warnings. For each item, there will be steps on how to resolve the issue.

What versions of QuickBooks Online are supported?
QuickBooks EasyStart, Essentials, Plus, and Advanced are supported in Canada and QuickBooks Simple Start, Essentials, Plus, and Advanced are supported in the United States.
How do I re-sync an item that was deleted in QuickBooks?
If an item (for example, a payment) that was in sync between Jobber and QuickBooks is deleted from QuickBooks and you need it back in QuickBooks, navigate to the QuickBooks dashboard and locate the previously synced item. Open the details, then select Sync Again.
