Workflow cards
At the top of the home page there are four cards that show a high-level overview of your workflow. The workflow cards are your go-to spot to see what action is needed for requests, quotes, jobs, and invoices. Each card shows three suggested actions:
- a primary action (shown with a button)
- a secondary action (shown with the option to view)
- a tertiary action (shown with the option to view)
All of these actions focus on getting work, doing the work, and getting paid for the work.
Below the primary and secondary actions, each card has a chart that shows metrics from either the last 7 days or last 30 days:
- Requests: Received vs. converted requests over the last 7 days
- Quotes: Sent vs. converted quotes over the last 7 days
- Jobs: started vs. completed jobs over the last 7 days
- Invoices: sent vs. paid invoices over the last 30 days
These charts are a quick visual representation of how each item in your workflow is progressing.
Requests
For the requests card, the number of new requests is shown at the top of the card. These are requests that have been submitted by your clients or created internally. The primary action for these new requests is to schedule assessments for them. Clicking View Assessments will bring you to the requests index page filtered by new requests. This is where you can review each request and decide to move forward by scheduling an assessment.
The secondary action is to view requests in 'assessment completed' status. Requests in this status have had their assessment completed, but the request hasn't been converted to a quote or job or archived. Selecting view will bring you to the requests index page, filtered for requests in 'assessment completed' status where you can decide what the next step for each request is.
The tertiary action is to View 'overdue' assessments. These are assessments that have been scheduled, but now the scheduled date has past and the assessment hasn't been completed so they require some action on your part. Selecting View will bring you to the requests index page, filtered for requests in 'overdue' status where for each request you can complete the assessment or update the schedule among other request actions.
Quotes
For the quotes card, the number of quotes that have been approved is shown. The primary action then is to convert the quotes to jobs. Clicking Convert to Jobs, takes you to the quotes index page filtered by approved quotes.
Below, the number of quotes with changes requested in shown. The secondary action for these quotes is to make the changes, and re-send the quotes. Clicking the arrow will bring you to the quotes index page filtered for all quotes with changes requested. This is where you can review the quotes with requested changes and decide what to do with each quote.
Below, the number of quotes in 'draft' status is show as well as the dollar amount of the total of these quotes. Clicking View filters the quote index page filtered by drafts so that you can decide which of these quotes to send (via email or SMS) or mark as 'awaiting response'.
Note: The revenue that appears on this card for quotes reflects the total of the quote and doesn't include paid deposits.
Jobs
The top of the jobs card shows jobs that are in 'requires invoicing' status. The primary action is to batch invoice for these jobs, where clicking Batch Invoice takes you to the batch invoice creation tool. Batch invoicing allows you to create multiple invoices all in one go for jobs that are in 'requires invoicing' status.
Selecting View for the secondary action will display the jobs page filtered by jobs in 'action required' status. These are jobs that are have no more upcoming visits but are still open; some folks think of these jobs as 'on hold'. This status is a prompt to either close the job because all the work has been completed, or to schedule more visits if the work is ongoing.
The next action is to View active jobs. This filters the jobs page by 'All active' jobs, which are all jobs currently in progress.
Note: The revenue that appears on this card for jobs reflects the sum of all the line items on a job, it does not reflect the revenue per visit.
Invoices
The top number on the invoices card is the number of invoices that are in 'past due' status and the dollar amount is the remaining balance (not total) of all the past due invoices in your account. The primary action is to view these invoices, clicking View Invoices will take you to the invoices index page filtered by past due invoices. From here, you can decide to re-send invoices or potentially mark some as 'bad debt'.
Below, clicking the arrow will show the invoices list filtered by 'awaiting payment'. These are invoices that have not had a payment recorded against them yet and include both invoices where the due date has not passed yet, and those that are past due. The dollar amount is the remaining balance of all awaiting payment and past due invoices. It does not include draft invoices.
The tertiary action for invoices is to View invoices in 'draft' status. These are invoices that haven't been sent to your client or marked as sent yet. The dollar amount is the total expected revenue from these invoices. Clicking View filters the invoices index page by drafts.
Today's appointments
Today's Appointments breaks down your total appointments for the day by employee and color codes their progress. Visits, assessments, and tasks are included in this count. Each employee's name is displayed with a progress bar which updates throughout the day as your team works:
- Total number of appointments for the day, including tasks, visits, and assessments.
- To go appointments are shown in grey and includes anytime visits.
- Note: Since anytime visits don't have set start and end times, they will remain grey until completed.
- Active appointments turn blue between the appointment's start and end time.
- Complete visits will turn green once they are marked complete.
When employees have several appointments in one day and they can't all be displayed at once, scrolling options appear where their daily appointments can be scrolled through. Appointments can be scrolled in either direction to view a full day's worth of work.
Daily revenue tracking
Daily revenue is located in the Today's Appointments section under each of the headings to show the revenue associated with the total visits, to go visits, active visits, and complete visits. The daily revenue is based on the sum of the line items for each visit happening today, however there is some variation on how this is calculated based on job type.
- For one-off jobs, the daily revenue is calculated by summing up the line items on the job. If a one-off job has more than one visit or a visit that spans multiple days, the revenue is attributed to the final visit or day of the job and the other visits don't show a dollar value in the revenue tracker.
- For recurring jobs, the daily revenue is based on the billing frequency for the job:
- For visit based billing, the line items for all the visits happening today are summed up.
- For fixed price billing, these jobs are not included in the daily revenue tracker since the revenue for these jobs is not always attributed to individual visits.
Note: Deposits, discounts, or taxes associated are not included in the daily revenue totals. Daily revenue is associated specifically with visits, although assessments and tasks show up in the Today's Appointments section too.
If the daily revenue calculation is temporarily unavailable, a message will appear that the revenue is unavailable.
Time tracking
The time logged by each employee appears to the left of their progress bar and represents their time logged for the entire day. When a timer is running, you will see a running clock icon in blue next to their time.
Clicking the clock icon will open today's time sheet entry for that user. If you need to make any notes, or edit a user's time this is the quickest way to navigate to their time sheet.
Note: The order the users appear in this list in the same order they appear on the Manage Team page in Settings. Admin users will appear on the top of the list followed by non-admin users.
Clicking into each appointment from the progress bar will display the visit details such as the visit title and instructions. If any updates need to be made to this visit, click More Actions > Edit.
Payments
If you have Jobber Payments enabled, you will see a card on your dashboard that shows your expected transfer amount and the date that it's expected to be deposited to your bank account.
If you click View Reports you will be taken to the Jobber Payments payouts report where you can see the various transactions that are part of this deposit since this is a net total. If you don't have any payments that are on their way to your bank, you will see $0 on this card.
If you have funds that are available for an instant payout, you will see the balance on this card as well. Instant payouts gives you more control over your cash flow by allowing you to receive funds that normally would take two business days to be deposited to your bank account within minutes. Click Get It Now to withdraw funds.
